Habinteg is a social housing provider with over 3,300 properties across more than 80 local authorities, dedicated to inclusive, accessible communities. To continue delivering excellent tenant services, the organisation recognised the need to improve its data management. Partnering with consultancy firm 3C and adopting the Data Logic software, Habinteg set out to streamline information handling, enhance compliance, and support better decision-making.
As a smaller housing association, Habinteg faced challenges in managing their increasing volumes of data. The organisation had multiple disconnected systems that had been added over time, with no way of consolidating data effectively between them. This led to duplication, inconsistent data and inefficiencies and made compliance and reporting very difficult.
One of the most pressing issues was responding to Subject Access Requests (SARs). The process was manual, and extremely time-consuming. The lack of a clear data management strategy meant that data was being stored without proper retention policies, resulting in an overwhelming volume of outdated and unnecessary information. Searching through multiple systems - including outdated and unsupported ones - often resulted in thousands of records, making it difficult to locate relevant information accurately and within the required timeframe.
With people’s awareness of data compliance and freedom of information rights increasing, Habinteg were seeing an increasing volume of SARs, which was overwhelming the capacity of the team. Facing unsustainable outsourcing costs, along with the added security risk of sharing data with 3rd parties, Habinteg took proactive steps to recognise these issues and find a long-term solution to address them.
To tackle these challenges, Habinteg partnered with 3C, leveraging their expertise in data consultancy, and implemented the Data Logic platform. Initially, they sought a tool to assist with SAR processing, but Data Logic’s data warehouse capabilities provided a much broader solution by consolidating information across their systems and providing visibility of data quality issues.
The implementation process was not without challenges. Internal capacity issues, integration complexities, and reliance on third-party systems caused some delays. However, 3C’s workshops played a crucial role in educating the business about data ownership and highlighting the importance of improving data quality. These sessions helped staff understand how Data Logic could transform data management and helped the organisation to acknowledge existing issues that had previously gone unaddressed.

Automated alerts for data integrity issues provided better visibility of key areas where problems were occurring, helping to focus additional training and support for staff where it was most needed. Workshops run by 3C provided by a safe space for staff to acknowledge challenges, share experiences, and recognise that they were not alone in facing data issues. This transparency has encouraged employees to take greater ownership of data quality, with teams now more willing to highlight concerns and seek solutions. Rather than fearing the consequences of acknowledging problems, staff feel more empowered to improve processes collaboratively.
Increasing engagement and education in data management has helped the organisation develop their data strategy, including creating new data retention policies.
